AI Governance & Adoption

AI you can roll out, and sleep at night.

Most organisations are buying AI faster than they are governing it. Microsoft Copilot, ChatGPT Enterprise, Claude for Work, all rolling in alongside personal accounts that nobody has audited. ORBX AI Governance & Adoption gives you the policy, the controls, the training and the measurement to do it properly.

What we cover

Five workstreams that add up to a real capability.

AI governance is not a single document. It is a set of operating practices that turn ad-hoc AI usage into something you can present to your board with confidence.

Policy and risk register

Two documents. One short policy your team will follow. One detailed risk register your DPO and audit committee will rely on. Aligned to UK GDPR and ISO 27001 controls.

Tooling consolidation

Most organisations have ChatGPT, Copilot, Claude, Notion AI and three others all running in parallel. We rationalise, negotiate enterprise terms where it makes sense, and reduce shadow AI.

Copilot rollout

Microsoft 365 Copilot rolled out the way Microsoft documents say it should be. Sensitivity labels in place. Permissions reviewed. Pilot, expand, measure. Most rollouts we inherit got step one and skipped two and three.

Training and champions

Workshops for senior leadership, role-based training for staff, and a champions network in your team that scales adoption without you needing to hire a head of AI.

Adoption measurement

Microsoft 365 Copilot adoption metrics, supplemented by your own KPIs (time saved, output produced, satisfaction). Reported monthly so you actually know if AI is delivering.

Board-ready reporting

Quarterly summary your CEO can take to the board: usage, value delivered, risks managed, next quarter's plan. Not a slide deck of charts, a written report your board will actually read.

How it works

From shadow AI to governed adoption in 90 days.

No 18-month transformation programme. We get the basics right in three months, then run it.

01

Audit

Days 1 to 14. Current state assessment. What is being used, by whom, on what data. Risks documented. Stakeholders interviewed.

02

Establish

Days 15 to 45. Policy drafted and approved. Tooling consolidated. Permissions baseline set. Pilot Copilot users selected.

03

Adopt

Days 46 to 90. Training delivered. Champions trained. Copilot rolled out in waves. Measurement in place from day one.

04

Operate

Day 91 onwards. Monthly retainer. Adoption coaching, policy updates, new tooling reviews, quarterly board report.

Commercial outcomes

What clients actually get.

A defensible AI capability that produces measurable value, not a stack of tooling and a hope-for-the-best policy.

90 days

To governed adoption

From shadow AI to a properly run capability. Policy, tooling, training and measurement all live and working.

Measurable productivity

Not "AI is transformational". Specific hours saved, specific outputs produced, reported every month with evidence.

Lower risk exposure

Shadow AI eliminated. Sensitive data leakage closed. Audit trail in place. Insurer questions answered with documentation.

Common questions

Things buyers actually ask us.

How much is this?

The 90-day Establish phase is fixed price, scoped to size and complexity. The ongoing retainer is a fixed monthly fee for adoption coaching, policy updates and quarterly reporting. Call us with your headcount and current AI estate and we will give you a number on the first call. Final price confirmed after scoping.

Do we need this if we have an AI Audit already?

The Audit identifies what to do. Governance & Adoption actually does it. The Audit is the diagnosis. This is the treatment. Many clients buy them in sequence; some buy this directly because they already know what they need.

Are you a Microsoft Copilot specialist?

We are a Microsoft Solutions Partner with hands-on Copilot deployment experience across the M365 estate. Copilot is not the only AI we work with, but for most UK SMEs it is the central platform.

What about non-Microsoft AI tools?

Claude for Work, ChatGPT Enterprise, Notion AI, Glean, others. We help you decide which to license and how to govern them. Most organisations end up with two to three tools, not eight.

Who owns the policy after you write it?

You do. The policy is your document, edited and approved by your team. We write the first draft, you edit, your DPO and senior leadership approve. We do not gate-keep your own governance.

Is this related to AI in IT Operations?

Different conversation. AI Governance & Adoption is about how your business uses AI. AI in IT Operations is about how ORBX uses AI to deliver your IT support. Both can run in parallel.

Stop hoping. Start governing.
